Phone vs. Email: Which is Better for Business Communication?

Emails are great for sending out messages to multiple people at once!

Business communication is constantly evolving, and it is important to know what the best form of business communication is so that you can better communicate with others. For the most part, there are two forms of business communication to really choose from: phone and email. There are many similarities between the two types of business communication, especially when it comes to how exactly you must talk, but they are still worlds apart and drastically different from one another. Both phone and email business communication come along with their own sets of pros and cons, so you must weigh them against one another to decide which is in fact the better type of business communication for you.

Phone: pros and cons

First off, let’s start with the pros of handling business communication over the phone. The phone is a fantastic method of business communication because it allows you to use your actual voice, and communicate using your tone and personality. It also allows you the opportunity to build a better relationship with whoever you on the phone with by actively listening to them. By speaking over the phone, you are also able to communicate complex ideas better and confirm all the information you spoke about more easily.

Meanwhile, the cons for this form of business communication do present a problem. For starters, you need to constantly be monitoring the way you talk and make sure you are a speaking and behaving in a professional manner. You also have to keep in mind that phone calling does require quite a bit of effort. For example, you need to make sure you are in a quiet place with no noise to distract you, or noise that may carry over so that whoever you are calling can hear it.

Email: pros and cons

Emails are terrific for business communication because they are easy. For starters, you often need to convey the same message to multiple people, so instead of calling each individual, you can simply type it up and send it off. It also allows whoever you are corresponding with to reply to you at their own pace.

However, with that being said, emails are easily and often ignored. Quite a bit of time could pass before you finally hear back from whoever you emailed. Additionally, it lacks the same tone and personality that you get from a phone call. You will have to put in extra effort to make an email personal and convey the write tone.
